Faculty Office Resources Partner

The Job’s mission

The Faculty Office Resources Partner will be the point of contact at the Faculty Office for resources deployed in IMD programs and activities, and ensure outstanding service provided to Faculty members (including Emeritus, Adjunct & Visiting Faculty), Coaches, & Executives in Residence. He/she will assist the Dean of Faculty in all personnel-related tasks involved in the deployment of IMD programs and activities. For some activities, he/she will work in partnership with the Human Resources department and an external relocation company.

Key activities & accountabilities

Faculty recruitment support activities

  • Take on the formal role of secretary of the Faculty Recruitment Committee (schedule meetings, take minutes, etc.)
  • Screen and review credentials to establish a potential Faculty pipeline (labour market screening, create and monitor leads)
  • Prepare and coordinate announcements and advertising for recruitment activity
  • Arrange Faculty candidates’ visits and collect feedback on candidates
  • Analyse and present data on Faculty recruitment as required
  • Oversee coordination of recruiting activity at professional conference meetings (off-campus, generally U.S. professional conferences) as necessary

On-boarding of newly hired Faculty

  • Support the integration, at IMD and in the local area, of new Faculty, their families, and coordinate relocation processes
  • Organize induction and integration programs
  • Be the point of contact for Faculty and program delivery staff

Faculty personnel administration

  • Assist the Dean of Faculty in administrative issues such as maintaining Faculty-related information, webpages and biographies, etc.
  • Provide administrative support related to departure of Faculty (resignation, contract termination, retirement, etc.)
  • Coordinate organizational processes and administrative follow-ups around Faculty, Emeritus Faculty, Adjunct & Visiting Faculty, Guest speakers and Executive in Residence.

Faculty Personnel Committee related activities

  • Take on the role of secretary of the Faculty Personnel Committee (coordinate the election of new members and initiate the process for modification of Faculty Policies)
  • Organize the Faculty contract renewal and review processes

Coaching resources administration

  • Assist the Dean of Faculty in administrative matters relating to deployment of coaches on IMD programs

Budget monitoring 

  • Prepare and monitor the Faculty Office budget

Ideal profile

  • Bachelor in hospitality management or equivalent
  • Brevet fédéral de spécialiste en Ressources Humaines or equivalent qualification an asset
  • Minimum 5 years’ experience in a customer relations role, ideally in a multinational company
  • Experience in HR or at a relocation company is a great plus
  • Good knowledge of Swiss labour law and social insurance legislation
  • Fluent in English and French
  • Computer literate (MS Office)
  • Proven organizational, logistics and administration skills
  • Ability to handle multiple priorities in an independent manner
  • Excellent communication skills, customer-focused and diplomatic
  • Stress management skills
  • Discreet and proactive attitude
